Tags are your own labels, such as "Not now", "Enterprise" or "Event". Your workspace has one set of tags, and every tag works everywhere: on replies in the Inbox, on campaigns and their leads, on contacts, on Accounts, and on inboxes, domains and LinkedIn accounts in Delivery. Use them to group things your own way and to filter lists.

Manage the set in Settings › Tags, under Workspace. Press G then , to open Settings.

Create a tag

  1. In Settings › Tags, click New tag at the top right.
  2. Type a Name.
  3. Pick a Color: Peach (the default), Sand, Sage, Mist, Lavender or Rose, or any hex color under Custom. The pill on the right shows how the tag will look.
  4. Click Create tag, or press ↵.

Kenso confirms with "Created the tag" and the name. You can also make a tag on the spot: in any tag picker, type a name that doesn't exist yet and pick Create with that name. Kenso makes the tag in the next color and puts it on what you were tagging.

Rules Kenso enforces:

  • Names are unique, ignoring case. "Not now" and "not now" are the same tag.
  • Kenso's own label names are taken. You can't make a tag called Interested, Objection, Not Interested, Out of Office, Wrong Contact, Bounced, Opted Out, Meeting Booked, Hot Lead, Referral or Champion, among others.
  • You need the Workspace settings permission to create, rename, recolor or delete a tag, in Settings or from a picker. Admins and Editors have it. Viewers can still put existing tags on replies.

Rename, recolor or delete a tag

Each row in In use shows the tag and where it's used, such as "2 campaigns · 1,240 contacts", or "Not used yet".

  • Rename: click Rename, type the new name, then press ↵ or click Save. Esc cancels. The tag keeps its place on everything that carries it.
  • Recolor: click the color square at the start of the row and pick a color. Kenso saves when the picker closes. Esc keeps the old color.
  • Delete: click Delete, then Delete tag. The tag comes off everything it was on. This can't be undone.

Right-click a row for Rename and Delete tag too.

Tag replies in the Inbox

  1. Open a thread and press T, or click Tag. You can also click the tag cell on a row, or right-click a row and pick Tag.
  2. Tick a tag, or type to search. The same picker sets Ken's label.
  3. To tag several threads, tick them, then click Tag in the bar that appears.

To filter, click Tags in the row under the tabs and tick one or more tags. You see replies with any of them. All tags clears it. Tags never move a reply between tabs. See Sort and clear the Inbox.

Tag a contact

In a thread, click Contact details. On the Profile tab, under Tags, click Add tag. Click a tag's x to take it off. People with view-only access see the tags without these controls.

Tag campaigns and their leads

  1. Open the campaign and go to its Settings tab.
  2. In the Tags row, click Add tag, type a name and press ↵ or a comma. A new name makes a new workspace tag.

The tag shows under the campaign's name in the Campaigns list. To remove it, click the x on the chip.

On the campaign's Leads tab, tick leads and click Tag to give them the campaign's first tag. Kenso confirms with a message such as "Tagged 3 as Enterprise". A campaign with no tag says "This campaign has no tag to give them yet".

Tag accounts

  • One account: open it and click Add tag next to Tags on the right.
  • Several accounts: tick them in the Accounts list, then click Tag in the bar that appears. Kenso confirms with "Tagged" and the count and tag.

To filter, click Filter or press F, pick Tags, then is any of or is none of, and pick tags. Save it as a view to keep it. See Account stages, views and the board.

Tag inboxes, domains and LinkedIn accounts

In Delivery, open Inboxes or LinkedIn accounts.

  • Click the tag cell on a row to tag one inbox, one domain or one LinkedIn account. A domain's row tags the domain itself.
  • Tick rows and click Tag in the selection bar to tag several. Pick a tag that every selected row has to take it off them all.
  • Click Tags next to Status and Type to filter. A tag on a domain also finds that domain's inboxes. Click the x to clear it.

Tagging by client, region or sender works well when you run several clients or sending setups in one workspace.

Who can tag what

Putting a tag on something needs edit access to the page it lives on:

What Ken can do here

Press ⌘J and ask Ken to list your tags, create, rename or recolor one, or put a tag on campaigns, contacts, inboxes, domains or replies, or take it off, up to 1,000 items at once. Ken asks you to approve each change first, and deleting a tag always waits for your approval. An AI tool you connect to Kenso can do the same. See Use Kenso from Claude or ChatGPT.

If something goes wrong

"A tag called ... already exists." Names are unique whatever their case. Use the existing tag, or pick another name.

"'Champion' is a reserved system tag name" (or another name). Kenso uses that name for its own labels. Pick another one, such as "Champion contact".

"You need the "Workspace settings" permission." Ask an admin to create or change the tag, or to give you that permission.

"Couldn't load your tags right now." Reload the page. Your tags are not lost.
